Why patients miss appointments
Most missed appointments aren't rude: people forget, the time stops suiting them, or they feel better and don't think to tell you. Each of those has a fix that costs almost nothing.
A reminder routine that works
- The evening before: a WhatsApp or SMS with the time, the doctor and a link to confirm or cancel.
- Two hours before (for long procedures): a short second reminder.
- Write it in the patient's language. A Telugu or Hindi reminder gets more answers than an English one.
- Keep it short: who, when, where, and one link.
Make cancelling easy
A patient who can cancel with one tap frees the slot for someone else. A patient who has to phone usually doesn't, and simply doesn't come. Let patients cancel or move their own appointment online up to a few hours before.
Fill the gaps
- Keep a list of patients who want an earlier time and message them when a slot opens.
- For root canals, implants and other long visits, ask for a small advance when booking.
- Look at who misses: the clinic software should show past no-shows when you book, so the desk can confirm those patients by phone.
Stay within WhatsApp's and TRAI's rules
Messages outside a 24-hour conversation must use templates Meta has approved, and marketing messages need the patient's opt-in. In India, SMS needs templates registered on the DLT platform. Reminders about the patient's own appointment are service messages; offers and festival greetings are marketing.
